Venue

Location – All sessions are held at the beautiful Marriott Ann Arbor Ypsilanti Eagle Crest at 1275 South Huron Street, Ypsilanti, MI 48197.  This venue is easy to find, has free and easy parking for conference guests and hotel rooms available on-site.  

Detroit Metro Airport is the closest airport to the conference venue. The airport does not have a shuttle that will go to the venue, but it is approximately 15 minutes away.  Scroll towards the bottom of the page for ground transportation options.

Hotel Reservations

A block of reservations has been made for conference participants at the Marriott Ann Arbor Ypsilanti Eagle Crest and the Fairfield Inn and Suites. The rooms are available on a first come, first served basis, so book your room early!  There is a small number of rooms blocked for Saturday, May 4th and a larger number of rooms available for Sunday and Monday night.  *Note that University of Michigan’s graduation is scheduled for May 4th – I would recommend using the Marriott’s hotel room block if you need a hotel room Saturday evening.  Other hotels will be full or have a much higher price due to graduation.

Tips for making check-in at the Eagle Crest Hotel easier:

For organizations who are paying for more than one attendee, the Eagle Crest has put together the below attached document in hopes to encourage you to send your information in advance including their method of payment and tax exempt form when applicable. Our hope is this will cut down on the exchange of paperwork and minimize the splitting of checks across multiple accounts at the Front Desk while you are checking in.

List of what will be needed at check-in (check-in time is 3:00 pm):

•  Hotel requires your method of payment (check, credit card, or cash)
•  Names of each person this method of payment will cover
•  Tax exempt form (if applicable)
•  ID of the person who is checking in

What would be helpful for this process?   It would be most helpful for them to submit the method of payment, names and check prior to their arrival.  The concern is long lines at the front desk if they are submitting all of these things as they are checking in.

If one supervisor is paying for multiple rooms, do you need a representative for each room present for check-in?   The supervisor can provide the method of payment for each room without each individual room occupant being present.  But the supervisor will only be able to get keys for rooms in the supervisors own name. The other room occupants can present their ID and get keys for their own room as they arrive.

Will occupants need to provide a credit card upon arrival?  If the method of payment the supervisor is providing is only paying for each individuals room and tax, then each room occupant will need to provide a credit card for incidentals.  If the method of payment that the supervisor is providing will cover room, tax and incidentals, then the individual room occupant will not be asked for a method of payment.  If the individual room occupant is paying for their own incidentals and they do not have a credit card, our cash deposit per night is $50 per night.


A smaller block of reservations has been made for conference participants at the Fairfield Inn & Suites Ypsilanti Marriott should the Marriott Ann Arbor Ypsilanti Eagle Crest sell out.

Parking

Parking is complimentary at both hotels. There is a complimentary shuttle to/from the conference venue and the Fairfield Inn & Suites Ypsilanti Marriot.

Ground Transportation

The Detroit Metro Airport does not have shuttle service to this venue.  The venue recommends Golden Limo for shuttles.  They also have a cab line called Mode.  Website is https://goldenlimo.com/ and phone # is 734-668-8282.  Additionally, the venue is only 15 minutes away, Uber and Lyft would be available to use as well.

Specialized ServicesThe Eagle Crest Marriott is a physically accessible facility. If you have individual requirements or need special services to participate in this conference, please contact Hannah Wong at hannah.wong@specialdevents.com, 248-336-8616. Requests must be arranged within two weeks of the conference.


General Conference Information

Meals

The conference fee includes the following meals:

  • Light appetizers at the President’s Reception on Sunday, along with cash bar
  • Plated dinner at Celebratory Awards Banquet – An additional fee of $30
  • Boxed lunch at Policy Luncheon – An additional fee of $25
  • Light appetizers at the Melissa Kaplan-Estrin Student Posters & Next Gen Networking Event
  • Light refreshments before keynote presentations on Monday and Tuesday

You must reserve tickets for meals by checking the attendance boxes online or on the registration form.  Indicate any dietary restrictions or allergies when registering online or on the registration form; efforts will be made to accommodate you.

Children at the Conference

While we certainly want to welcome you to bring your infant if you feel that is the best decision for you and your family, please be mindful that a majority of the conference is spent in keynote and workshop presentations and that childcare facilities are not available, nor can we guarantee that child friendly spaces will be available. We ask that you consider your own baby, his/her temperament and whether he/she will be content at the Conference given the facilities. To be considerate of others, we will ask you to excuse yourself from a session if your baby is interfering with someone else’s ability to learn. Additionally, there will be a Mother’s room available for use. When you need to use this space, please see the staff at the information desks; they will have keys available.
